Sharepoint 2007 Task List problems
I have encountered some problems with the task list web part and I wondered if anyone could suggest any solutions?
So heres what is happening. I create a new task list and check the box to have it send out emails when tasks are assigned. I create a new task, assign it to myself and I get an email, great!Then I see that everyone elsestasks are viewable in sharepoint and in outlook 2007 when I syncthe webpart with that,which is no good. Okay no problem I'll make a change in the advanced settings of the webpart so 'only their own' is set for read and edit. Sounds good. However now when I create a new task and assign it to myself (just like before) I don't get an email (and nor does anyone else). (Incidently I tried reversing the item level permissions but still no emails). A second problem seems to be that people now also don't see tasks in sharepoint that have been created by someone else and assigned to them. Useful!
Any help would be much appreciated. More info can be provided as needed.

I don't believe it is anything with your permissions. I am suffering from the same situation. I want to have a task list associated with a project that multiple people are a part of. However, I only want them to be able to sync their task list with outlook.
I can help you answer some questions but not find a good solution I am afraid.
The reason people cannot see tasks assigned to them but created by other people when "Only their own" is enabled on a task list is because a task list is basically just a list. And the "only their own" option only applies to the creator of the list item, not the person it is assigned to. So while the users have the task assigned to them they don't "own" the task, thus they cannot see it.
Anyone with "Manage Lists" permissions can view all items in the list even if "only their own" is turned on for the list. This includes people with Full Control permissions and manage heirarchy permissions.
Work-arounds:
One way to get the functionality you want is to deployan event handler for that list that, on creation or updating of an item, breaks the parent permissions (without copying) then sets the item-level permissions to just the employee and creator. In that scenario only the creator of the item and the person (or persons) in the Assigned To field can see the item. You would leave the list in "All items" mode for this to work (as the assigned to person(s) still would not be the creators).
That should work with outlook to (as outlook lists are security trimmed). I've made similar event handlers in the past and it wouldn't be too hard but it isn't an elegant solution.
To increase the elegance you could make a task list, set up the event handler and get everything working then save the list as a template. Now you could deploy these "Multi-User Task Lists"instead of the standard task list. I am going to give it a try and report back on how it works.

This does work, however, if any of the users who are going to interact with these lists have "Manage lists" permission on the site the list is in they'll be able to see all the items in the least (apparently even if you splits the list off from the site entirely).

Elegant solution. I completely concur with your rational. It's taken me 3 days to figure out that my workflow task assignment / no task list visibility that was only affecting 5% of my users wasn't a user profile or permissions issue. The
reason that 95% were able to see the tasks is because they were both the creator and the assigned to. :)
Within 10 minutes of searching this forum, I found your post and the lightbulb went on. I'm now in the process of creating my own Multi-User Task Lists web part so that both the creator and approver can edit only 'their' own tasks.
