Centralized Address Book
Hi guys, I am on internship and here I have Exchange 2007, can I somehow create centralized point from which all users via Microsoft Outlook can collect contact information. That means not just persons that are employed here but all contacts which this firm has. Thanks

Thanks By default all exchange mailbox users, contacts, distribution lists, and mail-enabled public folders exist in "Default Global Address List" and "Default Offline Address Book". Also "All Contacts" address list exists in exchange , which contains informtaion about all mail contacts in your exch server. What do u mean by "all contacts which this firm has" ? Have you created "Mail Contact" object for these contacts in Exchange? If so then they should already exist in above mentioned Global address lists and "All Contacts" list. All contacts refer to hundreds of email addresses collected during firm existence e.g. that firm has 2 employee Marc and Tom, but since that is the firm Marc in his Outlook has 200 e mail contacts in his address book , but Tom has 500 contacts in his address book. So how can I put together does two, so I can backup easily 700 contacts, and Marc and Tom can have 700 each. And if additional contacts are added , everyone can see that change . I know that this is basic, but I never worked on exchange , in fact I just got an internship so I am real beginner. I didn't create anything previous admin created just maiboxes but he got fired :( Mail Contact folder is empty. There is also an warning: Process MSExchangeFDS.exe (PID=4576). Could not find file \\IMC-004\ExchangeOAB\cf63d242-a823-4b80-93f7-7a4714519dc7\oab.xml. This is normal if the file has never been generated. Otherwise, make sure this file has read permission for the "Exchange Servers" group. PID: 1022.

You really a CRM. Exchange is not a CRM by any stretch. However the way that I have done this in the past is to use a Public Folder. Create the public folder through Outlook so that it is Contact format. Then copy the contacts in to it. You can also set the permissions on the folder. The drawback to the public folder method is that a. It cannot be used an Address Book in OWA b. You have to visit every machine to make it an address book. If the clients are also in cached mode and they need to access the contact list offline, then each machine will need to have the public folder made as a favourite so it is available offline. The "Contact" method is not one I am a fan of because the only people that can update it are server admins. That means the data gets out of date very quickly because people simply don't bother to ask for it to be updated. Furthermore that means everyone in the company has their GAL polluted with those entries. In reality, only a small subset of the employees will need access to all of those contacts - despite what anyone might say. Hi Other way, you could use export-mailbox to exprot all the users' contacts, yet you must manually to disposal those, because of some duplicate data. Regards! Gavin
