Disclaimer for messeges posted to public folder - Exchange 2007
Hi, We have a requirement for adding disclaimers on all messages being posted to a public folder (Exchange 2007 environment). Messages are being posted by any mailbox user as everyone has got right to post the messages. Any message getting posted here should contain disclaimer which should get automatically appended to it at the bottom of the message. How do I go about it. My understanding is that I can not achieve this using Hub transport rules.Please suggest !!!

Hi,I think this can be achieved using Hub Transport Rules.Create a DL (eg Public Folders) and add all the mail enabled public folders as the member of the group.Create a transport rule with the following conditionFrom Users inside the organisationWhen any of the receipient in the TO or CC field is a member of a Distribution listAction: append a disclaimerMahendra

Could you please let me know whether the normal post items would also go through Hub servers, if not, then creating transport rules would not be useful here as users can directly post their messages in the PF folder.

HI, Yes in exchaneg 2007 all the mail flow is through the Hub transport server. Therefore if a user sends a mail to a public folder the messages will get stamped with a discalimer by the transport rule.Mahendra

I am sorry, but I am not getting answer to my query, yet. It seems people have not understood my query..I definitely know that it's possible to add disclaimer (using hub transport rule) to a email if send to a mailbox or to a mail enabled public folder. But, their is a difference in sending an email to a mail enabled public folder and posting a message to a public folder (which may or may not be mail-enabled). If a message is posted to a public folder directly (instead of a mail being sent to it), the posted message do not pass through Hub transport server...let me know if I am wrong here..I can not restrict user from directly posting messages to this public folder as it serve as a classifieds.. I need some expert opinion on how to add disclaimers to even the messages which are being directly posted to a public folder.

Hi,If we just post item to the public folder, it will display as IPM.POST and will not go through the hub transport.So the only way is that we have to use transport rule If you want to add disclaimer globally.The challeage is that we have to use send emial to public folder but not just post. Both options do not seem to be viable.For the first one I do not have coding knowledge.The second one will disable Post button which will affect the ability of users to post to all the public folder not just the one which I am targetting at.Neverthless, thanks a lot for all the suggestion in response to my query.

Take a look at a product called Exclaimer. I'm not sure it will meet your specific need, but Google it and talk to their sales/support folks.
