Email Retention Policy
My company is planning on implementing a new Email Retention policy: here are the requirements. Any help in how toproceed and what tools would be optial to use. We currently use Enterprise Vault fom Syantec to archive emails > 30 days but current config is to retain forever. New policy will be to delete anything >60 days except what is in two specific folders. My biggest blur is how to create the necessary folders required and monitor afterward for growth by Outlook folder? The EV policies should be able to manage the deletion.
Email Retention Policy
Things to figure out:
How to create folders in everyones Mailbox
How to create folders in only specified users folders
How to create different policies for different folders
o Deletion timeframes different for each subfolder
What to be done with Deleted Items folder?-archived and deleted!
What to be done with Sent Items folder?archived and deleted!
Mail folders as subfolders of Mailbox need to be cleaned as well?
Requirements:
3 folders created within everyones Inbox (Legal Hold, Business Critical, and To-Be-Filed)
To-Be-Filed folder
o All files from Inbox (and subfolders) moved to To-Be-Filed on Dec 15th
o Locked for addition on Dec 15th
o Open for extraction until Feb 15th.
o Folder deleted on Feb 15th (manually?)
Legal Hold folder
o Subfolders to be created by IT, for select people
o No deletions allowed from this folder or subfolders
Business Critical folder
o Departments to recommend folder structure for each department
o Departments to recommend clarification on what is business critical for that dept
o Users have ability to create/modify structure as required
o Users can add/remove emails from this folder and subfolders
Inbox
o Dec 15th will be empty (see To-Be-Filed folder requirements)
o Any messages older than 60 days will automatically be deleted
Things to do:
Create a report/monitoring capability for Legal to review size of Business Critical, Legal Hold, and To-Be-Filed folders
