Exchange 2007 - Delegate Issue
Hi, I'm am experiencing some issues with a new Exchange 2007 installation as described below:- Scenario: We have two users UserA and UserB UserB gives UserA access to his Calendar via Tools Options Delegates Add UserA Options set are not changed: Calendar (Editor), Delegate receives copies of meetings (Ticked), Tasks (Editor) UserA leaves the company and their Exchange Mailbox and Windows Account is deleted I then send a meeting request in the Calendar to UserB I then receive the following reply back from the Exchange Server ( I have attached the full message) Delivery has failed to these recipients or distribution lists: User AThe recipient's e-mail address was not found in the recipient's e-mail system. Microsoft Exchange will not try to redeliver this message for you. Please check the e-mail address and try resending this message, or provide the following diagnostic text to your system administrator. If I then log in as UserB and check the Delegates, I find a Not Found (UserA) user with permissions to the Calendar I then delete the Not Found (UserA) user from Delegates and save the changes I then send another meeting request to UserB and all is ok In my opinion surely when you delete UserA from the system, it should remove any permission access from the database? Is this a bug in Exchange 2007 or something with our system? Is there anything we can do as it is actually getting quite annoying now as this is happening to a lot of users?

Hi, This might help: When removing a delegate the Send all responses to my delegate check box can remain checked although seemingly inactive. By adding a name into the delegate space, you can UNcheck that box then remove the decoy delegate name. This cleared up the ghost delegate Leif

Hi Chris, You can perform the following methods to remove the delegate rule on the UserB Mailbox: 1. Download Mapi Editor tool from the following site: http://www.microsoft.com/downloads/details.aspx?FamilyID=55fdffd7-1878-4637-9808-1e21abb3ae37&DisplayLang=en 2. On a workstation that has Microsoft Office Outlook 2003 installed, log on as the mailbox owner, and then create a MAPI profile (UserB) that points to the mailbox that has the delegate rule to be deleted. 3. Start MFCMapi tool on the that workstation 4. In the main Microsoft Exchange Server MAPI Editor window, click Session, and then click Logon and Display Store Table. 5. In the Choose Profile dialog box, select the user profile (UserB) for the Exchange store that you want to modify 6. Double click the Mailbox of userB to open it 7. Expand Root Container and locate the Inbox folder. 8. Right-click the Inbox folder, and then click Display Rules Table. The Rules Table window opens. The top of the Rules Table window displays the rules that are configured on this mailbox. 9. Hi Mike. Appreciate your response. However, the problem I have is that we have over 200 (every changing) users. Therefore I'm looking for full time fix for this issue rather than a one that involves going to each effected workstation. I'm assuming this is a bug in Exchange 2007 as we did not encounter this issue on Exchange 2003. Any help greatly appreciated. Thanks Chris

Hi Chris, Thanks for your response. I would like to explain that it is not a bug of Exchange 2007. Please understand that if you create delegate for a user and have the delegate receive Meeting Request for the user, a delegate rule is created on the users mailbox. After the delegate account is removed, the correspond rule will not be removed. For example, you create a rule on Outlook to forward received message to another person. If the account of the person is removed, the rule will not be removed automatically. The rule will still attempt to forward the emails to the person and NDR will be received. Thus, if you would like to clear the delegate rule for the 200 users, I am afraid that you have to suggest the users to run Outlook /cleanrules to remove all the rules of their mailbox.
