Free/Busy info not available after June 1 2009 for Outlook 2003 Clients
I'm in the middle of transitioning from Exchange server 2003 to 2007. Most of my clients are on Outlook 2003. Clients using Outlook 2003 can mostly not see free/busy info after June 1st 2009. I haven't seen any error messages in the server logs.A public folder database was not created during the install of Exchange 2007. I created one but am seeing conflicting info on whether I should replicate the free busy info folder.Anyone experience this or have suggestions?

Hi,In this situation your clients are using PF for F/B information and not the avalibilty service. What did you set in default public folder database option on mailbox store in newly E2k7 servers. MAPI client applications, such as Microsoft Office Outlook, open a connection to the default public folder database and perform all hierarchy-based operations against the server that contains that database. These operations include viewing public folders, creating and deleting public folders, and querying for the location of public folder content.http://technet.microsoft.com/en-us/library/bb629522.aspxThis could be one of the issue os this problem.Anil

The default public folder database is set to the correct public folder store, which is on my Exchange 2003 backend which will eventually be retired. I will have to get the contents of the public folder store over to the new Exchange 2007 server. What's the best way to move that info over while not affecting the clients with mailboxes still on the old server. I'm not confident that this was caused by the move. I have outlook 2003 clients with mailboxes on the Exchange 2003 server that are having the same issue, and it's inconsistent. When checking free/busy for some users it works, and for others it's cut off at June 1 2009.

Hi Andrew,What about users who is moved on E2k7 , are they able to see F/B info for users on E2k3 and vicerversa. What about when you test with OWA. If E2k3 mailbox user is not able to see F/B for E2k7 itself then problem is not with co-existance.First you need to fix issue of F/B and other PF problem then only you should move into E2k7 PF server.Let me know test result as said above.Anil

Issue description: Outlook 2003 user cant be seen others Free/Busy info after June 1st 2009 Check info: 1. Do all users use the public folder database on the exchange 2003 BackEnd server? 2. Do all users use same public folder database? 3. Whats difference between problematic users and fine users that you can see? 4. Quote: When checking free/busy for some users it works, and for others it's cut off at June 1 2009 Does it mean that user A can see user Bs free/busy info after June 1st 2009 but not on user C? So, all users cant see user Cs free/busy info after June 1st 2009? 5. As Anil suggested, can issue be reproduced via OWA? 6. As Arun suggested, please check the value of published months via outlook option Troubleshooting: 1. Please create a new test user mailbox on the same store as problematic users mailboxes, see if the issue can be reproduced 2. Please follow Mike Shens post in this thread to see whether Free/Busy info after June 1st 2009 exist or not in the SCHEDULE+ FREE BUSY folder For moving public folder from exchange 2003 to exchange 2007, please refer this article Resources: The info in this article is helpful when we troubleshoot the FB Maintaining and Repairing Free/Busy Data

Andrew; On one of the problem clients, go to Tools...Options...Calendar Options Click the "Free/Busy Options" button(Might be wrong on the path, but you'll find it)Check to see if it's set to "Publish 3 month(s)" of free / busy information. If so, change it to what you want.Karl

Sorry I haven't posted back for a while. It seems that Outlook 2003 can't see free/busy past June 1st for other users who only use outlook 2003 as a mail client. Here are some examples: If I am using outlook 2003 I can see my own free/busy can't see other users' free/busy after june 1st if they only use outlook 2003 Can see free/busy for users not using outlook 2003 If I am using another email client (Entourage,OWA,Outlook 2007) I can see any users' free/busy In reference to your questions above: yes they should all still be using the public folder db on the 2003 backend Unless I'm missing something all clients use the same pfd see above see above OWA and other clients besides outlook 2003 aren't affected This value is set to 2 for the users I've checked. I did increase the value to 4 which would pass June 1st but it didn't seem to affect the issue. I will work on check the free busy info via the mfcmapi tool

Andrew; If they were set to only publish 2 months of data and you changed it to 4 it will take some time to publish the data.I would set it to 12 or 36 and wait for a while.Karl

Karl,For the user I changed the free busy info did show up in outlook 2003.I don't understand why I could see that users' free busy in other clients (OWA, Outlook 2007). For instance there is another user who is only set to publish two months. After June 1st it shows no data if I'm on Outlook 2003. On other clients (OWA, Outlook 2007) I can see free busy data after that date.

Andrew;Outlook 2003 uses the public folder structurefor Free / Busy and OWA, Outlook 2007 (On Exchange 2007) use the Availability service. That could be the cause.Karl

Enable the PF replication for Free Busy data between Ex 03 and Ex 07.See if that gets you anywhere. It may take some time to replicate.BP

Increasing the number of months published for free/busy info seems to be the fix. Thanks to all for your posts.Andy.
