Guidance for Resource mailboxes (rooms)
Hi, We are currently migrating all our Public folders towards SharePoint, Resource mailboxes etc. Now Im trying to undestand all the policy requirements for resource mailboxes and I have reachaed a end point. Cancelled meetings It it possible, client or serverside to remove a meeting from a local calendar if the exchange attendant service denys a meeting? OutOfPolicy meetings We would prefer that a meeting that is scheduled out of policy (Recurring, Time etc) is cancelled/rejected by the Exchange attendant instead of preliminary accepted as it would be hard to explain to the users that they need to pay attention. ResourceDelegates What is the difference beween ResourceDelegates and users who has Full-Access to the mailbox expect that (for now) ResourceDelegates gets all the OutOfPolicy requests to their mailbox for approval? AddNewRequestsTentatively I do not fully understand this one, is there a KB i can read more about this one? AddOrganizerToSubject Is there a way to add more info to the subject? We would like to include the OU the meeting organizer works for as the company is fairly large and a name does not really say so much about who really booked the room, specially if there exists multiple users with the same displayname. Is that even possible? We are running Exchange 2007 SP2. Regards Anders sTUDIOX

Hi Anders, <1> Yes, it is possible. <2> Out-of-policy requests are subject to approval by a resource mailbox delegate. <3> ResourceDelegates: a list of users who are resource mailbox delegate. Resource mailbox delegates can approve or reject requests sent to this resource mailbox. Full-Access: with full access permission, you can login to the resource mailbox, this is permission on the resource mailbox. <4> AddNewRequestsTentatively: Set the AddNewRequestsTentatively true to have the Calendar Attendant put new calendar items tentatively on the calendar. If the AddNewRequestsTentatively parameter is set to false, only existing calendar items are updated by the Calendar Attendant. <5> AddOrganizerToSubject parameter to specify whether the meeting organizer's name will be used as the subject of the meeting request. This will be ignored, unless the AutomateProcessing parameter is set to AutoAccept. I didn’t find any other way can do this. Hi Anders, 1).I have seen people said they can do this way in Outlook: Apply the rule after the message arrives With Declined in the body Run a script I try to find the script, but I cannot find it now. 4).The $false setting will not work on the items you import from the pst file. 5). Hi Evan, Thanks for replying on the thread. 1.) How would that be possible? Client-side rules? 4.) I have of course read all the variables descriptions and this one does not make sence. If I import calender data from a pst file (exported from a public folder) would a $fale make the attendant ignore these? 5.) Same here, I have read the description and came to the same conclution, i just wanted to make sure there where no other way to accomplish my task, and it seems there is not. Thanks //AnderssTUDIOX
