Please can someone from Microsoft explain in simple terms how to restore my email accounts (Exchange and POP)?

Background: I have a macbook air 2010 model. My machine powered down and when I charged and tried to access my email account everything had dissapeared. I have now got into a mess as I'm trying glee information from the forums and have tried creating new identities etc. and dragging a Database File into the new identity folder but to no avail. The email are showing when I search my mac and then tries to open them in Outlook but says that it is not associated with the identity.

I have to say that I'm reading a lot about the same problems and I think Microsoft should make this much easier to solve / explain

I have urgent emails I need to find in the folders / Archives I have set up.
