First, follow the methods listed in the following link to check the issue.

Second, check to see whether the Word open the file in the same instance or not. Go to Task Manager -> Processes tab to check whether there is only one WINWORD.EXE.

Yes, I've already followed those methods previously and it appears as it doesn't happen all the time but MS WORD is opening another instance of winword.exe when opening some word documents. This appears to be causing the issue and happens when MS Word is not open and the user opens a .doc elsewhere. The user can end the process via Task Manager and that does resolve the issue temporarily but it does comes back at some point with another .doc. If the user opens MS Word program first and then opens documents accordingly - this issue doesn't occur and only one instance of winword.exe appears.

We've already done all the above to see if there were locked files...etc..as indicated in the link. The person is using a thin client to connect to a terminal server to access MS Word. Do you by chance know why the user doesn't have any issues with this "file in use" error when they open MS word first and then begin to open files but only after MS word has been opened and running?
