Hi Exchange Server Expert,

Our company is using Exchange 2010. Each of the mailbox has been configured to have default quota of 3GB. When it reaches 3GB quota, the send/receive will be prohibited.

My question is:

1. if there are senders are sending email to specific user whereby his/her mailbox has reach quota, will the sender receive any bounced back message?

2. If he/she clean up their mailbox, will those bounced back email being flushed back to their mailbox or the sender need to re-send again?

3. Will the user know that there are senders that sending email to her but he/she can't receive because he/she has reached quota?

1. Yes, which is why I recommend not using prohibit-send-and-receive as an enforcement mechanism and depend on prohibit-send only.  Prohibit-send-and-receive annoys the innocent correspondent, not the miscreant.  I recommend setting that quota much higher than prohibit-send so that it serves as a safety measure in case something makes a mailbox grow rapidly rather than an enforcement mechanism.

2. Bounced messages are never retried, they are returned to the sender.  Delayed messages may be retried, but overlimit messages aren't delayed.

3. No, but they'll be notified that they're over quota and that event could happen.

I have some query further the answer that you have answered me:

1. Do u mean that if we set quota higher than the prohibit send, it is aimed to informed user that they need to archive before their mailbox being prohibited from send/receive?

2. where is the setting in exchange whereby we can ensure that the users receiving the notification that his/her mailbox before reached or has reached the quota? is this message only sent once?

1.  That's not what I mean.  I didn't say anything of the sort.  But you could communicate that message if you want.

2.  I believe it's sent daily and you shouldn't have to do anything.  Set a test mailbox's quota real low and see for yourself.
