Message records management deleting prematurely
I am in the process of testing a retention policy, involving my mailbox's Deleted Items default managed folder, and the messages are getting deleted prematurely. I currently have it set up to delete all content when item is moved to the folder with a retention period of 30 days. Once the folder assistant runs against my mailbox items in my Deleted Items from just a few days ago get deleted as well as the old stuff. It seems to vary on the amount of days it removes each time it runs. I checked that it is scheduled outside of the online maintenance scope and it is. Event Viewer does not show any errors pertaining to the folder assistant running (Start-ManagedFolderAssistant). I do see it occasionally mention that the online maintenance for a storage group or 2 has overlapped. Would that affect this at all though? I don't know what else to check. I will be installing Exchange 2007 SP3 this evening and hope that it will correct any issues...but I doubt it.

Hi, I suggest you create a new mailbox and see if you can reproduce the issue. At the same time, please use the following command to reaise the log level and see if there is some clues in the application log. Set-EventLogLevel -id "MSExchangeMailboxAssistants\Email_Lifecycle_Assistant" -level expert Thanks, Elvis

Installed SP3 last night and have set the log level to expert. Manually ran the folder assistant so far all storage groups report "0 mailboxes were skipped due to errors". I will follow up Monday.

Checked Event Viewer and there are no errors with MSExchange Assistants. Everything has sufficient time to complete and all the mailboxes get processed. Unfortunately today my Deleted Items folder is empty, when there should have been well over 50 items. I double checked the online maintenance that ran for the storage group too and found no issues. Checksumming is on as well. One thing I noticed is that for the storage group is that online maintenance seems to run the defrag/checksum portions more than once. Is this normal. I know if it resumes from a terminated defrag it will finish where it left off and rerun a full... but in this instance it was starting with a checksum/defrag, finishing, and then restarting over again. Maybe this is normal, but I am not sure. Hard to say if that is related to my MRM issue or not.

Do you have more than one Managed Default Folder defined for the Deleted Items? Do you have the right Managed Default Folder in the Managed Folder Mailbox Policy? Have a look at the content settings and make sure it's linked to the right folder name: Get-ManagedContentSettings "<name>" | fl Make sure the right folder links are in the policy: Get-ManagedFolderMailboxPolicy "<name>"|fl >One thing I noticed is that for the storage group is that online maintenance seems to run the defrag/checksum portions more than once. Maybe this is normal, but I am not sure. It is. If a complete pass over the database only takes 25 minutes and you've scheduled four hours then it'll run 16 times. Just shorten the maintenance interval to something more appropriate so it runs fewer times. >Hard to say if that is related to my MRM issue or not. It's not. The MRM schedule is managed on the property page of the mailbox server. You might want to turn on MRM logging to see if that can help, too: http://technet.microsoft.com/en-us/library/bb397218(EXCHG.80).aspx --- Rich Matheisen MCSE+I, Exchange MVP --- Rich Matheisen MCSE+I, Exchange MVP

Just for the sake of notating the fix/finding of the error, I want to post this so others can know an area to look into. The users that were seeing mail prematurely deleted were occasionally logging into OWA and had the "Empty the Deleted Items folder on logoff" enabled. This was a pain to figure out, but a relief at the same time.
