Microsoft Outlook - Read and Sweep Mails
Hey Ppl... Need your help / advice on sweeping User data / mails in Exchange Server 2007.Earlier, I posted this question on http://social.technet.microsoft.com/Forums/en-US/ocsucintegration/threads but someone pointed me to this category so am re-posting it here.*******************************************Wishing you a very Happy, Safe and Joyful New year with full of prosperity and good luck ahead. I have a question. And apology, if this is not the correct forum / place for this question. But please be generous and help me out. In my organization, Admin team has implemented Read & Sweep policy which automatically deletes mail from the server on certain interval. We are having Exchange Server (version 2007 - i guess) and I have neither made delegates nor given access to anyone. I have a question of the privacy. Because, my old mails are being wiped out from pst and inbox without my consent. How can anyone deletes mail without being authorized by me ? And if they can delete the mails there might be chances they can access as well. How and where to check or change the settings to turn on privacy settings. Even, surprisingly, I can not move those mails to pst as well. Because, after 3 months, those mails (which are in pst) would also be deleted without my consent. Hi, Please check if you have Auto-archive feature enabled or disabled. If enabled; please check if it set to permanently delete OLD items or Expired items after some interval. Please removing the PST file from Outlook profile as well and see if the items are still there when you connect after few days. It is possible to delete expired items or OLD items by AutoArchive feature and these settings can be pushed from Group Policy. Regarding Items in the mailbox, this is also possible to delete items in mailbox after certain amount of time. There is no need of giving access to anyone to perform above tasks. Thanks.

Hello,
If your mail administrator set the rule(delete mail older than xx days) in server side, as an end user, you could not forbid it. If you would like save your old email, you could save them into a pst(you're not allowed in the current situation, right?), or forward the email to another email account.
Please also check auto-archive feature as Vishal mentioned.
