We are an architectural office of about 15 stations and server. Network is Small Business Server / MS Exchange based. Client stations all use MS Access. We generate a ton of e-mail that all has to be saved. For the last decade or so, we have been e-filing all e-mails by opening any message then: file - save as - and saving as an .msg file in an appropriate sub folder on the server. This is totally time consuming. I've been looking at attempting to automate a system by using rules wizards and a series of public folders (and sub folders) also thinking that we would archive the folder to a single .pst when the project is completed and archive it to media. Is this sound like the way to go? How do other mid size offices handle this? The size of the .pst file would be pretty large. One thing I have noticed with the Outlook rules wizard is that there is no way to seperate the "To" and the "Cc" boxes. i.e I want to file an outbound e-mail to a folder that I have set up for that person, but only when they are in the "To" box, not the "cc" box. Help!

the emails have to be directed to a location (according to project #, who sent it etc...) then be able to be accessed by other staff.

why don´t you configure mailfilters in orer to sort the mails to diffrent folders and configure permissions on these folders in order to get more then one people access to this mailbox and the appropriate folders. regards Thomas Paetzold visit my blog on: http://sus42.wordpress.com

Not sure you're getting my problem..... Let's start simple. Our office needs to find a way of dealing with all the e-mail that comes to each of our user acounts, filing it according to project and possibly other factors) for others to access, finding a way of retrieving it (without having to look for a needle in haystack) then archiving it once a project is completed. As well, may need to bring back that archive in the future to find an old email eg. warranty items. This can't be a new problem.
