I have thousands of emails in my archive folders, and every day Outook (2010, on Windows 7) rebuilds the index. This takes hours, and of course 99% is exactly the same as yesterday. Is it possible for the index to be updated every day with the 1% new emails, rather than being completely trashed and rebuilt all the time?

I would like to recommend you first restart the indexing service, and then manually rebuild indexing.
Also you can Check the issue in clean boot and scan viruses.

Hi,
this seems to be a general issue (read serveral times during my investigation).
The solution above is not working for me.
Is there any further thing we can try?
The index seems to be lost after every restart. If I just close outlook and open again, everything is fine.
Setup:
Windows 7 - 32bit
Office 2010 Professional Plus
Hp 2540p with SSD and HDD encryption on (McAffee provided by HP)

Have you resolved this issue? It would appear that I have exactly the same problem, ie index being rebuilt everyday and taking forever, even though hardly anythink changes from one day to the other

This did not fix the problem for me. I stopped filing when I got 2010 because it so efficent. Now I wait 2.5+ hours every morning while 30k records get indexed before I can search.
What a major pain.

Is there a resolution to this issue? I am sure there are many suffering in silence with this inconvenience. Here is my typical scenario.
- Laptop was left on overnight with Outlook 2010 opened
- Indexing complete with 204,228 items (up to date).
- Laptop was shutdown and restarted but Outlook was not launched.
- 204,228 item indexed dropped to 69,461 items indexed
Using the Indexer Status gadget I observed:
- Indexing was going in reverse order (in decreasing number)
- 69,461 items indexed remained unchanged when indexing was going backwards, presumably starting from 204,228 and counting down to zero
- When indexing was zero (up to date):
- Indexing Options window showed 69,461 items indexed and Indexing complete
- When Outlook 2010 was launched thereafter, Indexer Status gadget showed:
- Indexing starting from 1 and slowly builds up
- Items indexed increased from 69,461 upwards before indexing complete hours later with about the same number of items, i.e. 204,000+
Quite clearly Windows Search destroys the index pertaining to Outlook every time after rebooting and rebuilds the index once Outlook is launched again. Can we prevent that from happening?

I have two laptops, exactly the same, Win 7 32-bit, Outlook 2010.. Setup with the same programs.. one of them has the indexing problem, and one doesn't.
After reinstalling, it fixed the problem for about 3 weeks. Index finished and I was able to search. Then, about a week ago, it decided to rebuild, and now it's back to rebuilding after every reboot.
Currently, I'm working with the manufacturer of the laptop (Dell) who I have a support contract with, to try to help resolve it. I'll try to post here if I find the solution with them.
Things tried, that didn't work
1.) Rebuilding index
2.) Reinstalling with Click-To-Run version of Office 2010 (home and office version)
3.) Temporarily fixed with reinstalling MSI version (same version as above)
4.) Changing permissions to Full control for all users in Outlook icon
5.) Standing on head while holding tongue and squealing like a pig. (while tough to complete, I didn't have a positive result)

I am happy to report that my re-indexing problem has inexplicably resolved itself. It is a mystery; I am not sure what happened as I believe I have done the following previously to no avail.
1. Checked and repaired .pst file with scanpst.exe
2. Reboot laptop
3. Launched Outlook 2010 , go to File tab
Select Options
Select Search
Click Indexing Options
Click Advanced
Click Rebuild
4. After 10 hours or so, indexing was complete
Miraculously, no re-indexing has taken place in the past week since the Index was rebuilt, although my laptop was rebooted at least twice a day. Now on launching, Outlook 2010 is immediately searchable and Indexing Status says ‘Outlook has finished indexing all of your items. 0 items remaining to be indexed’.
It might be a coincidence, but I recently installed Service Pack 1 for Microsoft Office 2010 (KB2510690) before I rebuilt the index.
Hope the above is useful.
Also, after installing service pack 1 about two weeks ago - I haven't yet had a problem with Indexing - it seems to have solved that problem.

RoboHelp did not export when Office 2003 had been installed first, before Office 2010. So I uninstalled Office 2003, and reinstalled it into C:\Program Files (x86)\Microsoft Office 2003, to avoid possible conflict with Office 2010 installed in C:\Program Files (x86)\Microsoft Office. RoboHelp now works correctly with Word 2003. I cannot remember if the indexing problem existed before this. Did anyone else have a scenario like this?
However, I have seen many complaints on various forums about this problem, so it suggests the problem goes wider than just my PC. It definitely needs a fix from MS.

January 2012, and I also have the problem over here in UK. New build, Windows 7 / 64bit; 16Gb memory; 2 quad-core Xeons. Can't get rid of this problem. The search is useless until after lunch every day.

Hello, same problem for me also with Windows 7 64bit and Outlook 2010 Professional...
I use also CCleaner and this is probably the cause of this problem of rebuild from scratch every day...
I will try to desactivate some options in CCleaner and will let you know the status later.
Hello, desactivating the "MS Search" and "Office 2010" options in CCleaner (under "Applcations) solved my problem, Outlook stopped to rebuild the index from scratch.
I think that the real cause is the "MS Search" option, because "Office 2010" option only remove the recent accessed documents in Office, but I will confirm that is the case after some days of use.

I'm also having the issue - Windows 7 Enterprise x64, office 2010 - all the latest patches, SPs updates... connected to an Exchange 2010 server with all the latest updates, sps, patches...

I do NOT nor have I ever had ccleaner installed
This was not an upgrade from Office 2007
I've tried replacing my drive.
I've tried combining all of my email accounts to a single outloook profile
I'm wondering if this is an issue with the 64 bit version of oulook or if people with the 32 bit have the same issue - I"ve read several posts of others having the issue but no solution.

I had this problem last year and somehow fixed it but forgot how. Now it's started again, and has been happening daily for a month. I think I found a fix. This applies to Outlook 2010 on Windows 7 (64-bit).
- Back up your existing Outlook data *.pst file as follows:
Go to File tab > Options > Advanced > Export button > Export to a file > Next > select Outlook Data File (.pst) > Next > select Outlook Data File > tick Include subfolders > Next > Save exported file as > Browse to where you will save the backup file, and give it a new filename such as outlook_yymmdd.pst (where yymmdd is today's date) > click Finish. - Wait several minutes to back up a large file. Mine is 5.5Gb.
- When finished, you now need to know where the main Outlook data file is saved.
In Outlook 2010, go to File tab > Info > Account Settings > Account settings > Data Files tab.
Write down the Location of the required Outlook file; on my PC, it's in
"C:\Users\Philip\Documents\Outlook Files\Outlook.pst".
Then close the Account Settings screen. - Close Outlook and all other programmes that might link to it, such as 3rd party spam filters like Mailwasher Pro.
- In Windows Explorer, hunt down SCANPST.EXE, which is usually in the folder with WINWORD.EXE etc. On my PC, it's in
"C:\Program Files (x86)\Microsoft Office\Office14". - Run SCANPST.EXE. It asks you for the name of your Outlook file. Click Browse and find the location that you wrote down in (3) above. Select the file (probably Outlook.pst) and click the Open button.
- Click the Start button. It now runs through a file check. This may take a minute or two on a large file.
- Next, it tells you if it found any errors or inconsistencies. e.g. "Errors were found in this file".
Clear the checkbox beside "Make backup of scanned file before repairing" as you've already done a backup in (1) above. - If there are no problems, you can Cancel; but I'd be inclined to run the Repair anyway, just to make sure.
10. Click the Repair button. The repair process begins. On a large file with problems, this may take a few minutes, so go and make a nice cup of tea. ;o)
11. When it has finished, the "Repair Complete" popup appears.
12. Now this is the important step: RUN THE SCANPST.EXE AGAIN and again and again until you get No errors were found in this file.
This did the repair job OK. Outlook loaded somewhat quicker than usual, and the search Index responded in a couple of seconds for a full file search. And this with a 5.5Gb .pst file. Hooray!
I hope this is helpful to you all, and I hope the fix holds from now on ;o)

I have same problem running for some time, googled and found out, we are seeking answers from deaf ears and blind eyes of MS.
Hope to see some better mailing platform coming soon, by name of user-friendly products MS is ripping apart the basic convenience thing.
I had tried to split PST file to below 1.5 GB , Repair PST file etc. All didn't work.Finally solve this problem by the method below:
In "Windows Feature" (click start and search "Windows Feature"), enable Indexing Service and Windows Search. Must be checked together.
It will then rebuild and maintain the Index.
This method has solved my problem which was lasted for 2 months. Hope it will help.
