Outlook Room resource scheduling
I am trying to initiate a new process within my company. Our current room booking process is a mess. I am looking into using the room feature within Outlook 2007. We are currently on Exchange 2007. Can someone please answer the following
questions?
Is there a way to setup a room with a short description of the room?
Is it true that if a meeting is setup with a room that only the organizer can delete that room booking besides the room delegate?
Is there a way to force a buffer time before the meeting (for a/v setup)?
If the "accept all" feature is turned on what happens if the room is already booked.
Any help with these questions will be appreciated.

2. Is it true that if a meeting is setup with a room that only the organizer can delete that room booking besides the room delegate? --> Yes, but also depends on level of permissions a user has on the mailbox.
3. Is there a way to force a buffer time before the meeting (for a/v setup)? --> Not sure about your question but there are options to use book-in policy so when a user sends a meeting for a room, it is not approved until manually accepted by the delegate(s).
there is also an option to define max time for a meeting.
4. If the "accept all" feature is turned on what happens if the room is already booked. --> you can separately define for it to be auto declined or wait for approval

Sure, a meeting organizer can delete his/her meeting from a Room mailbox, just update the existing meetings from his/her calendar folder with "cancel" option and then "send update" to all attendees.
There is no permission level for meeting organizer to delete or create a meeting since room mailbox is set to Auto Accept all meeting requests instead of sharing the calendar as it used to do in Exchange 2003. To control
who is able to create a meeting on room mailbox, use the resource property in EMC or resource option in OWA.

There is no "Accept all" feature in Room mailbox in Exchange 2007 system. Once we set Automateprocessing to be Autoaccept, the room mailbox will accept all meeting request; if the requested time slot is booked, the room mailbox
will deny the later request and response an email message with the reason of "time conflict".
