Queuing/delaying email on Exchange 2003
Our GoalReduce the frequency of interruptions from constant you have "new mail".EnvironmentExchange 2003Outlook 2003All external inbound mail goes through a Smart host then is fwded to the Exch server and outgoing again goes through the smart host.Our ConsiderationsWe have not decided yet if this will only include internal email or all email and how long of a delay. Likely it would start with rec'd mail and have new msgs appear every 15-30min. Outgoing (leaving the firm) mail would be delivered normally.I am not sure if this can be done and if so should we do it on the Exch server or on Outlook itself, maybe increasing the time between checking in with Exch.Any suggestions would be appreciated.

Are youmore or less annoyed at the actual "new mail" notification or the amount of new mail being delivered? You can easily disable the "new mail" notification through a GP.

Hi could you proivde more info in order to bettertroubleshooting for the issue? (1) all users or some users have the issue when receive mail? (2) Forreceiving mail,is it from external , or include external and internat? if the issue only appeared atinternal, sender and receiver whether locate single store? or different store but single exchange server? or different exchange serve but single RG? different RG but single Org? if the issue only appeared at external , sender locates at nation or foreign country? (3) pls testing as follows? receiving path: external -> smart host->exchange server ->outlook 1. so, pls make sure where the Queue message appears? smart host , or exchange server? 2. please make sure your exchange server hardware configurationwhether comply with Microsoft recommandation? 3. are you running antispam or antivirus software in your exchange server? pleaseconsider to disenable it, then testing whether it's OK? 4. please check mailbox quota for your user? if it is set more larger, e.g. 2G, weshould consider client hardware configuration whether match "mailbox quota"? 5. are your running antiviruse software in your client? if so, please consider to disable, then testing; and please check outlook rules that have configured? if anything unclear, pls free time to let me know; hope it helps; -Jack

Jack- There is no issue right now, all is working fine.John - This is was asked of me by one of the partners in the office. They heard from an affiliated office that they were delaying msg delivery and everyone were more productive. I am just looking at our options.Its not just the popup notification by outlook, but the constant interruptions when anyone rec's a new email every minute. Most of which are not required immediately for their work and a lot originate from within our office. eg birthday announcements, items for sale, jokes, msgs from external sources, etc.

Well, delaying message delivery can be accomplished but I would be more inclined to recommend an email policy and enforcing it. I always recommend a Corporate email policy be written to include all electronic transactions with company computersbe only related business activities. I would also get your Attorney involved to draft the policy. I see no difference if you delay the mail by 15 minutes if the users get flooded with email that is not relevant to their job every fifteen minutes or instantly. I would also suggest some type of inbound and outbound monitoring to enforce the policy. This is my two cents and experience in dealing with Corporate mail environments and personal email.
