Resources in exchange 2003 Issue
I been asked to create resource mailboxes, so that users can book appointments in the conf room calendars. Following are some of our requirements. we are on exchange 2003 SP2 env. 1. All users should have the ability to book the appointment in the resource calendars. 2. All users should have the view capabilities, meaning they must be able to view the schedule of these resource calendars. 3. When booking appointment, if there is conflict the users should not be able to book that appointment. 4. This is most important requirement. None of the users must be able to see subject and the contents of the calendar, as in some cases these are private and confidentail meetings and therefore they need to be hidden from all users. I was able to meet all the three requirements, however 4th requirement is not working. Since users have access rights as "Author" in the resource calendar so they can write/read the calendars. Is there any way we can do the 4th requirement? Can we hide the contents of the calendar from seeing. They should be only able to see their bookings and the rest other appointments must be hidden. Is there any way to do this? Please reply.

Set the permissions appropriately then. Perhaps a custom permissions scheme that users can only contribute appts, delete/edit their own , but see no details. Private meetings should be saved as private.

Private meetings should be saved as private. Andy, if the permissions are set to Custom, which means they can write, delete own items it didn't work. I also tried Contributor, non-editing option and still didn't work. If I give these permissions, users cannot even book appointments and they get errors. If I keep custom, give write permissions to create items, delete own then it works, but in this case they can see the contents, which we do not want. Also what you meant by private meetings should be saved as private option?

Meetings and Appointments can be saved as Private within Outlook. However, depending on the user permissions, others may be able to see the contents. It sounds as if you are direct booking these appointments on the resource calendars. You may want to look into the auto-accept agent to see if it woould work better for you. http://technet.microsoft.com/en-us/library/aa997184(EXCHG.65).aspx

I looked into auto-accept, but not sure if any changes are required on exchange server side? Also will the option " None of the users must be able to see subject and the contents of the calendar, as in some cases these are private and confidentail meetings and therefore they need to be hidden from all users" will available? Do you know. If not then there is not worth.
