Room Resource Mailboxes and delegates
We have an exchange 2007 SP1 HF7 server that I am configuring Room Mailboxes on I have configured these rooms to auto accept requests. I am restricting the people that are allowed to submit meeting requests to select individuals and groups. I have set a group "Office Services" as a delegate on these rooms so that they are always aware of any meetings and have time to prepare the rooms ahead of time. The problem I am having is 'it is my understanding' that delegates should receive a copy of any meeting request. They are not. Is my understanding of a delegate wrong? I have thought of creating a forwarding rule in AD on the room that would forward a copy of all messages to the 'office services' group which I think should work without any negative impact, but I am trying to clarify -in my own mind, if I understand this resource incorrectly or if something is not working as it should. As a side note the 'office services' group was initially a security group(with associated email address) that I changed to a universal distribution group -since it appeared I could not select a security group as a delegate. I also wondered if there was a way to add available resources for the room within the room itself. for example if we have 3 chair configs for the room, a projector, a microphone, and a whiteboard, is there a way for me to allow people to select chair config 'B', the projector, and microphone within the meeting room -as compared to creating an 'Equipment Mailbox' for each and inviting these objects to the meeting also? What auto process settings do you have? I should have mentioned; I am limited to my currect cfg until we upgrade another server... wait for it.... that's running E2K SP2.... Comments not needed on this ;) We are running an unsupported outdated version of Cisco call manager on an outdated unsupported version of exchange.... That I would prefer NOT to touch. The good news, for me, is we have been working on an upgrade path and timeline for Cisco to a current version running against a current version of Exchange (2010-?). I can not SP E2K7 to anything higher than SP1 until all of my E2K(preSP3) servers are gone. That being said, I have the rooms set to auto accept meeting requests from; BookInPolicy -select member/groups, RequestInPolicy -Everyone(W/Delegate Approval) RequestOutOfPolicy -select member/groups(W/Delegate Approval). I though delegates should have rec'd a copy of EVERY meeting request -event those auto accecpted and NOT requiring approval. Is this wrong?

Hello, Auto accepting meeting requests can’t work for out-of-policy requests. You must specify a delegate. Best Regards, Lisa

thank you and yes you are correct this is how I have Out of policy configured; "That being said, I have the rooms set to auto accept meeting requests from; BookInPolicy -select member/groups, RequestInPolicy -Everyone(W/Delegate Approval) RequestOutOfPolicy -select member/groups(W/Delegate Approval)." The issue I am trying to resolve is I need Delegates to receive copies of every meeting request -in or out of policy. They are the group that is responsible for makeing sure the rooms are ready when scheduled for a meeting. I DO NOT want to rely on end users being responsible for inviting the 'Office Services' (Delegate) to every meeting that is scheduled. I have created an auto-forward in AD (Exchange Delivery Options) but I'm not sure this is the right way to achieve my goal. Am I wrong in beleiving that Room Delegates 'should' receive a copy of EVERY meeting scheduled in the room resource -either in or out of policy, with or without conflict, on a Room Mailbox that is configured to auto accecpt meeting requests (unless a conflict or out of policy condition exists) I have confirmed the delegates receive the meeting request in a conflict / out of policy situation.
